Course/Experience
I am grateful that you want to know more about coordinating a course for me. As a coordinator, you are the key person when it comes to the participants’ experience both before, during and after the course and you are representing my company Joy of Life. You have the opportunity to learn a lot, both about yourself and about human nature, and get an opportunity to connect with people you may not have met before. In addition, you may also earn some money.
There are some practical things to consider, such as deciding on when the course should be thought, find and make a reservation of a venue and how to promote the course. It doesn’t have to be a huge workload, but it will always involve some work. You obviously get a contract, which means that none of us have to be in ambiguity about what we agreed on.
There are two different ways we can agree on in terms of cost/reimbursement of a coordinated course;
- You will set the price yourself per participant. Participants will sign up and pay for the course directly to you. You will pay for the venue. It is up to you if you want to provide coffee etc. during breaks. You pay for any advertisements. I will invoice you a week before the course a fixed agreed amount for me teaching it.
- I set a minimum number of participants needed for the course to take place, participants sign up and pay via my webpage, and I pay against invoice for the venue. You will receive a compensation based on the number of participants and that amount you will invoice my company Joy of Life.
Note!
In order for me to accept and pay costs, I must have approved them in writing by email in advance i.e. BEFORE you e.g. make reservation of a venue, buy an advertisement in a newspaper, place an order at a printing company, etc.

GUIDE FOR SCENARIO 1
The guide is intended as a support for you so that together we can create a really good experience for all participants, while avoiding unnecessary misunderstandings between us.
Before the course
- Promote the course.
- On social media.
- Email people who might be interested in participating in the course.
- Let me know if you would like a PDF with a poster about the course from me. Print the poster and put it up in suitable places (library, shops, bulletin board at work, etc.).
- See if you can get some interest from local media.
- Find a suitable venue and book it. Consider how large the venue needs to be to accommodate the number of participants there will be in the course.
- Answer practical questions about the course and receive course registration and payment from participants. Make sure you receive all the necessary information (name, address, phone number, mobile number, email address). Give participants all information about course hours, what to bring with them, the address of the venue, how to get there, options for lunch and coffee breaks etc. Remind them to bring notebook and pen if they wan to take notes.
- Make a single document with contact information (name, address, mobile number, e-mail address) to all participants you email me no later than 2 days before the start of the course katharina@arnesen.se.
Provide me with information about the address of the venue and how I can get there (e.g. which bus stops nearby, the name of the bus stop, which metro station, train station, tram stop, airport, where there is parking opportunity nearby).
I also need to know if there are restaurants nearby. If I have access to a refrigerator, stove, microwave etc. for our lunch break. If it is advisable to bring slippers/shoes to wear inside. And if there are other information you think might be good for me to know.
- Pay the invoice I send you for me teaching the course.
During the course
- Be at the venue well before the course starts, at least 90 minutes before, to help me prepare the room and make sure that everything practical is working well.
- Sign in all the participants, to make sure everyone has arrived before we start the course.
- If necessary, assist me during the course.
After the course
- Make sure that the premises are left in the agreed condition i.e. cleaned if the rental agreement requires it.

- Find a suitable venue and book it only AFTER I have approved the premises and the cost. The company/person who rent out the venue will make the lease agreements with my company Joy of Life and send me their invoice. Considering how large the venue needs to be to accommodate the number of participants there will be in the course.
- Provide me with information about the address of the venue and how I and the participants can get there (e.g. which bus stops nearby, the name of the bus stop, which metro station, train station, tram stop, airport, where there is parking opportunity nearby).
I also need to know if there are restaurants nearby. If we have access to a refrigerator, stove, microwave etc. for our lunch break. If it is advisable to bring slippers/shoes to wear inside. And if there are other information you think might be good for me and the participants to know. I will email them the information when they have signed up. - Answer practical questions that participants might have about the course.
- If agreed up on, buy (I pay against receipts) what is needed for the coffee breaks. I will set aside a maximum amount for the purchase for the coffee breaks.
During the course
- Be at the venue well before the course starts, at least 90 minutes before, to help me prepare the room and make sure that everything practical is working well.
- Sign in all the participants, to make sure everyone has arrived before we start the course.
- If we are responsible for the coffee table ourselves – make sure it looks nice and clean all the time.
- If necessary, assist me during the course.
After the course
- Make sure that the premises are left in the agreed condition i.e. cleaned if the rental agreement requires it.
- Give me an invoice with copies of the receipts, for costs agreed upon in advance.
